Purpose

This policy is intended to provide guidance to Wentworth Institute of Technology (henceforth known as “the university” or “Wentworth”) related to donor giving information. ​​​​​​​

Scope/Applicability

This policy applies to all members of the Wentworth community, students, faculty, staff, and affiliates that have access to donor giving information.

Policy

Within the university, access to donor giving information is limited to staff members with a legitimate business purpose and need to know (e.g. Finance), and, as appropriate, those in academic units and programs who support development activities. Academic unit and program leaders’ access to such information is restricted to biographical information and giving information as deemed appropriate by the Vice President, Institutional Advancement and External Relations or the Assistant Vice President, Advisor and Donor Relations.

Definitions

Donor Giving Information: Information related to or pertaining to philanthropic gifts, including biographical, personal, and financial information.

Procedure(s)

  1. Persons with responsibility for records containing giving information will exercise due care to ensure accuracy, completeness, and data security. Strict physical, electronic, and procedural safeguards will be utilized to protect personal information against accidental or intentional misuse or improper disclosure within or outside Wentworth. 
  2. Wentworth Institute of Technology shall continually monitor these practices and procedures to ensure compliance with the principles set forth in this policy. If at some point in the future there is a change to the information usage practices that affect donor personal information, it will be reflected in this policy.

Interpretation & Revision

Any questions of interpretation regarding this policy shall be referred to the Vice President, Institutional Advancement and External Relations or the Assistant Vice President, Advisor and Donor Relations. They will be the final authority regarding the interpretation of this policy.   

This policy shall be reviewed every three years; however, minor changes and updates can be made at any time.    

Wentworth will typically apply the policy in place at the time it receives a report concerning the respected policy.

This policy was drafted by representatives from the division of Institutional Advancement and External Relations. This policy was reviewed by Cabinet and approved by the President on 11/8/23.
